Foundation Coordinator
NON EXEMPT
Basic Function:
Serves as the main administrative support staff for NABEF. Will provide superior administrative and program support for Vice President, NABEF and NABEF staff. Responsibilities include but are not limited to support for various foundation initiatives, office management, scheduling, research and correspondence, serving as liaison with other NAB staff.
Specific Responsibilities
- Provide administrative support to Vice President, NABEF. Will include support on all NABEF initiatives and programs, securing meetings and conference rooms, answer phone, coordinate travel and hotel reservations. Prepares PowerPoint presentations for Vice President and President and whenever needed.
- Provide general administrative assistance for other NABEF staff including oversight of all office correspondence, program support for various NABEF initiatives, research, database management, and light editing as needed. Other duties include: answering main NABEF telephone, ordering supplies, maintaining and organizing electronic and paper files.
- Process and code invoices in the Ariett system and expense reports in Concur system.
- Serve as the payroll representative for the NABEF by overseeing the EZ Labor timesheet system, processing the employee’s leave request forms and other duties related to payroll.
- Receives check and credit card payments and contributions to NABEF and ensures they are accurately coded and processed. Creates and reviews reports, sends invoices according to schedule, prepares correspondence to acknowledge gifts, and ensures that all Finance forms and directives are followed.
- Fulfills several administrative duties associated with the Service to America Gala including but not limited to collection of sponsorship information and several mailings throughout the event planning process.
- Work with Vice President to prepare NABEF Board books and NAB Board reports.
- Performs various duties as assigned by Vice President and/or President of NABEF.
Internal Relations:
Reports to Vice President, NABEF. Supports other Foundation staff. Works extensively with various NAB departments, including Finance, Communications, Marketing and the Executive office. Serves as initial point of contact for NABEF. Answers all internal requests in a timely and courteous manner.
External Relations:
Serves as initial point of contact for NABEF. Handles telephone and email inquiries and/or requests in a timely manner. Will immediately forward to appropriate staff member if unable to address. Contact with NABEF and NAB Board on board meetings as necessary ensuring a professional impression is made on NABEF’s behalf.
Minimum Education and Experience:
- Bachelor’s degree;
- Two years related professional experience and/or training; or equivalent combination of education and experience.
Minimum Skills and Attributes:
- Excellent administrative skills; proactively handling assignments and/or tasks.
- Proficient with Microsoft Office Suite - Outlook, Word, Excel, Power Point, and Access (or other database software).
- Ability to schedule meetings and seminars.
- Strong organization and time management skills, with the ability to handle multiple projects simultaneously.
- Works well under pressure and have a positive/professional attitude.
- Detail-oriented; with the ability to prioritize and plan work, use time effectively, and demonstrate accuracy and thoroughness.
- Ability to communicate clearly and effectively, both orally and in writing.
- Strong interpersonal skills; developing relationships with various departmental staff.
